Job Description
This role is responsible for managing and planning small scale conferences, as well as provide administrative support to senior conference planners in planning larger scale conferences (greater than 200 attendees). Collaborate with the procurement team to prepare presentations for senior leaders on potential conference property sites. Will work cross functionally with various teams within the organization including the communications, procurement. planning and attendee management teams.
Responsibilities
Oversee all matters of participant enrollment related to attendance at company meetings and events, including creating all communications, developing registration websites and reports (e.g., hotel rooming lists, airline arrival and departure manifests, activity selection, and name badges), and maintaining program/event driven lists. Communicate regularly with participants, meeting planners, and third-party vendors to provide participant updates, changes, additions, and deletions for the conferences. Serve as the front-facing resource for Advisors and employees at all levels, act as customer service point of contact for all inquiries.
Assist sourcing managers and conference planners with RFP deployment and proposal tracking. In partnership with the conference planning team will assist in vetting through vendor proposals needed for event recommendation. Create decks for presentation proposals which include venue recommendations and scorecard decks in collaboration with the sourcing team and conference planners for senior leaders to review.
Provide operational support to internal conference planners in planning and executing conference logistics. Work cross functionally with other teams in planning events. May take the lead role in planning and managing the execution of event logistics for small-scale conferences. Work with advisors and other business partners to review and discuss elements and plan for on-site operations, including coordinating agenda flow, off-site events, food and beverage orders. Provide support and act as a backup to conference planning requests when a conference planner is traveling. Travel on site for conference operations/execution as needed.
May travel to conferences and assist with on-site logistics. Includes, acting as a point of contact for attendee and vendor on-site questions and pulling ad hoc reports as needed
Utilize registration sites to report final quality control of all conference reports for assigned conferences to ensure accuracy and completeness. May need to reach out to vendors and conference planners to validate and solve any errors in the reporting.
Required Qualifications
Associates Degree or Equivalent Required
3-5 Years of Relevant Experience Required
Experience in a corporate meeting planning environment
Knowledge of Cvent
Detailed oriented with strong organizational skills
Excellent verbal and written communication skills, including effective follow-up skills
Ability to manage multiple tasks/priorities simultaneously
Demonstrated ability to influence others and strong decision-making skills Strong computer skills
Preferred Qualifications
CMP (Certified Meeting Professional) designation
