The Administrative Assistant should be resourceful and able to work autonomously across a complex organization structure. Some responsibilities include:
◾Proactively manage the calendar of senior executive, anticipate necessary background material, and effectively resolve conflicts that arise in a professional manner.
◾Prepare managers for day meetings including daily calendar, assist in compiling and organizing documents and materials for meetings
◾Screen & respond to incoming calls: forward & respond pro-actively as appropriate
◾Accurately arrange detailed travel plans and itineraries
◾Assist with various administrative aspects of the Leadership team
◾Assist with submitting and approving ARM requests for shared drive/various platform access.
◾Assist in coordinating special events and activities
◾Assist with building and floor access / serve as Access Control Representative (ACR)
◾Assist with creating, formatting, and editing documents
◾Must be able to be adaptable and work well with people with different interpersonal styles.
-3-5+ years administration / business support experience
-Strong Word, Excel, PowerPoint & Outlook skills
-Ability to interface and manage Senior Executives
-Ability to Multi-Task, self-starter requires minimum supervision
-Ability to proactively look for potential conflicts or issues and resolve
-Strong attention to detail
-Ability to prioritize and work well under pressure
-Ability to obtain information in a timely and efficient manner
-Effective comprehension, listening, verbal and written communication skills
-Proven experience managing multiple competing priorities simultaneously, strong prioritization and time management skills, self-directed and result-oriented
-Ability to navigate in a constantly changing environment and under tight deadlines with high level of accuracy
-Strong relationship skills and ability to work with a variety of constituent groups
-Associate's / Bachelor's degree or equivalent work experience
-Proficiency in Concur & Ariba systems
-Proficiency in internal technology ordering systems
