    Job Description Summary

    The Executive Assistant will provide high-level executive support to the General Manager of Bel US with occasional support to Director of Corporate Communications and the Chief Financial Officer. The ideal candidate will possess a positive mindset with excellent organizational and communication skills. 

    Essential Duties and Responsibilities

    • Manages short-term and long-term schedules considering key priorities; prepare Executive for meetings and appointments; pre-review meeting materials for quality and take proactive actions on the Executive’s behalf when appropriate
    • Proactively coordinates internal and external meetings, global visitors, and special events.  Resposibilties to include: agenda preperation, invites, materials, note taking, food needs, dinners, etc.
    • Creates and maintains a system whereby relevant information for all meeting is complete, well-documented, organized, and easily accessible. 
    • Provides calendar management in Outlook, meeting planning, expense report processing, mail handling, and other routine administrative duties, all with a sense of urgency and the utmost confidentiality
    • Coordinates complex travel arrangements both international and domestic.  Manages all travel logistics.
    • Assists the Director of Communication in organizing Town Hall meetings.  Coordinates meeting logistics, must be comfortable simplifying and formatting slides in PowerPoint, etc. 
    • Support the creation of internal and external communications content, key messages, and Q&As, videos, and leadership communications
    • Draft, support editing & proofing of communication memos, reports, and other information
    • Creates visually appealing and simple PowerPoint presentations to support our executive team's communication efforts
    • Works in partnership with a team to manage several employee and community events per year and ensuring that each event is representative of the company’s image, culture and mission
    • Maintains confidentiality and handle sensitive information with discretion

    Qualifications and Competencies

    • 5+ years of experience as an executive assistant or in a similar role
    • Associates degree (two years) in business training preferred
    • Experience working with senior-level executives and handling sensitive information discreetly
    • Strong communication (both written and verbal) and interpersonal skills; approachable with ability to maintain positive relationships at all levels in the organization.
    • Advanced proficiency in Microsoft PowerPoint, Canva or other design software with the ability to create visually compelling presentations that effectively communicate key information
    • Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines
    • Excellent organizational skills with focus on accuracy and attention to detail.
    • Ability to work independently and collaboratively in a fast-paced environment

    Working Conditions:  Work is performed largely in a hybrid  office environment (minimum 2 days in office per week).  Hours of work will generally be during regular business hours with at least 40 hours a week.  At times there will be some variation in work hours due to special projects, deadlines and other concerns.  Occasional travel may be necessary.

    Relationships:  Will have strong relationships with the Chief of Staff,  Director of Communications, Finance, Supply Chain, Factories, Accounting, Marketing and HR.
