Days: Monday-Friday 8.30-16.30

Key Tasks

In this role you will be a key member of the Alloga UK Training department

• To enter any manual training completed onto the individuals training record in the LMS training Data Base

• To file all training paperwork and certificates, in a timely and accurate manner, in the correct areas within the Training and HR department so they may be retrieved quickly when requested in an audit.

• To ensure there is sufficiently well printed resources for Alloga Inductions and to audit and maintain the stock of the resources

• To prepare training resources for all training programs delivered by the Training Dept.

• To prepare the training room for all training / meetings in accordance with the room bookings and ensure room is tidied after training

• General administration duties to assist the Training Department and to assist with day to day Training Department functions and duties

• Any other ad hoc duties as deemed reasonable by the business

• To meet and greet visitors to the Training Department and escort them into and out of the premises

• To develop various training reports as required by the business, department and your line manager

• To comply with GDPR Legislation

• Main point of contact and respond to general Training Dept related questions, queries and issues in a timely manner via email, telephone and face-to-face

• To chase managers and supervisors for outstanding information and documents which may be required by the Training Dept.

• To build relationships with all other departments and team members via email, telephone and face-to-face.

• To support with the facilitation of various training courses, for example the Known Consignor online training

• To support with the corporate Inductions in relation to working with the new team members collecting and reviewing their new starter paperwork, processing paperwork and passing on to the HR team

• Completions of new team members weekly welfare visits

• To update the training database with the new training documents, updated document versions, new competency questions and process out to the business as required

• Add and removing training from the training database, creating audiences for the new training via individual and department code

• Manage the employees on the Allocate database, adding, removing and amending job roles accordingly as and when required to support HR team

• Manage the setting and resetting of passwords for the Allocate training database

• Completing audits of the LMS Training Database system to ensure data is accurate and relevant

• To be the main point of contact for all Alloga team members with regards to the LMS training database

• To be the main point of contact for training Alloga team members on how to use the LMS training database via email, telephone and face-to- face training

• To be the main point of contact for all queries, questions, queries and issues relating to the LMS training database dealing with emails, telephone calls (making and receiving) and face-to face enquiries

• To be the main point of contact with Allocate for general database queries and issues, monitor progress of issue resolution and know when to escalate to line manager when required

• To ensure accurate records are kept for employees on apprenticeship qualifications and other qualifications

• To arrange training, co-ordinate and liaise with training providers and team members/managers for bookings and attendance to all Alloga training sessions and chase any non-attendance.

Monitoring, maintaining and updating all training matrixes accordingly.

• To send completed paperwork to the colleges/ training providers when required

• To chase documents from the colleges/ training providers as needed

• To ensure that all accidents and near misses are reported immediately to the HS&E Manager

• To ensure that all department activity is performed in accordance with company procedures and client instructions

• To ensure that the Company Health & Safety polices / standards are adhered to at all times.

• To carry out any reasonable requests as determined by Management
