The work you’ll do
As a Facilities COE Manager, you play a critical role in maintaining our offices and workspace to ensure facility matters are supported across the country. You will lead, oversee, and manage key areas of the Facilities COE with the goal of ensuring a well-maintained and professional working environment for our internal customers and guests. Responsibilities include, but are not limited to:
Develops, documents, and implements facilities repairs and maintenance guidelines.
Manages the daily operations concerning facility maintenance, equipment maintenance, and landlord/property management interactions.
Performs a combination of professional and management duties over facility staff.
Executes duties in accordance with the national, regional, and local vision, strategies, and standards.
Work closely with facilities professionals across the US offices to ensure processes are maintained and implemented in accordance with the Facilities COE strategy, and standards.
Supports overall program goals and the development of specific program offerings and comprehensive policies, procedures, guidelines, and standards.
Develops program plans with milestones and contingency plans as needed based on budget, timing, and business need.
Provides timely communication and flow of information among leadership and key stakeholders, as well as serve as a conduit and contact point so key objectives are communicated clearly and can be met.
Oversees and executes significant "strategic administrative" responsibilities, including managing interactions with stakeholders and is responsible for preparing meeting materials and responding as appropriate to inquiries from various leadership groups.
Provides strategic, analytical and project management support, and keeps leadership abreast of noteworthy events, milestones and issues in their area of responsibility.
Supports facilities management activitiesunder the direction of management including management of vendors/service contracts; regular and one-off repair and maintenance; administration of office security system and life safety program; cleaning management, customer requests related to the facility.
Advises facilities staff in the repair and maintenance of multiple office properties. Provides performance management oversight to staff and responsible for mentoring and coaching of team members.
Responsible for Hermitage facilities including building operations and equipment maintenance, inspections, ISO audits, physical security, vendor management, fire safety, emergency response, business continuity planning, and review of service contracts.
Provides input related to the annual facilities budget and implementation of capital projects for offices.
Serves as liaison with OE Facilities professionals with regards to leased facilities issues.
Develops and implements policies, procedures, and standards concentrated around general office maintenance (e.g. cleaning, electrical repairs, painting and furniture repairs) partnering with team members and vendors to address issues to include cleaning standards in compliance with Facilities COE guideline and standards.
Plans, organizes, and leads special projects related to and concerning facilities COE which involves internal office relocations, commissioning and decommissioning of office space. Including: management of internal moves and other space planning changes; capital improvement projects; maintenance of tracking and reporting tools (e.g. updating floorplans); and supporting national data collection activities (e.g. carbon use reporting for office)
Manages and fosters relationships with customers, local One Teams, vendors and other key stakeholders (e.g. property management) through effective communications, collaboration, and engagement with purpose to deliver a “best in class” experience
