Description
The Administrative Assistant’s primary role will be to support the Vice Presidents and team with administrative and coordination duties. The Administrative Assistant will achieve this goal by overseeing assigned projects or activities, coordinating daily schedules/calendar, preparing for meetings, and managing travel and expenses. The ideal candidate will function under tight deadlines in a fast-paced, highly demanding work environment while exhibiting excellent customer service and professionalism in all interactions. KEY ROLES & RESPONSIBILITIES:
- Organize and optimize daily workflow for Vice Presidents. Prepare and manage any communications, reports, presentations, etc. as needed.
- Collection and coordination of employee trends and analytics (https://I.e., turnover, employee relations, talent movement, etc.).
- Review and ensure compliance of all expense submissions to adhere to policies.
- Team meeting calendar management and cadence for the year.
- Proactively manage Outlook calendars and handle all scheduling matters. Schedule appointments and meetings. Coordinate and update any meeting request changes that occur during the day.
- Gather and organize meeting materials in advance. Reserve conference rooms and work with Office Services for room, audio-visual needs, security, transportation of materials, catering, etc.
- Coordinate complex travel arrangements, both domestic and international and detailed itineraries.
- Interface appropriately with a broad array of internal and external stakeholders, including senior executives, Board members, Company employees at all levels and external callers and vendors.
- Process monthly expense reports. Manage incoming bills and statements related to expense report processing.
- Handle incoming telephone calls and take action as required. Screen telephone calls when appropriate and pro-actively handle any routine matters and requests.
- Order office supplies and handle other office related procurement activities as needed. Manage any bills and invoices related to departmental procurement.
- Prepare and organize itineraries for incoming visitors. Provide temporary coordination support when needed to visiting executives. Receive external visitors and ensure they are properly hosted and always escorted.
- Plans events for team and meetings with a high degree of excellence.
- Manage ad hoc projects.
Qualifications
JOB REQUIREMENTS & QUALIFICATIONS:
- Position requires 1-2 years’ experience in a corporate and/or industry-related environment providing coordinator and administrative support for a senior level executive.
- Exemplary professionalism and discretion when handling matters of a confidential nature.
- Excellent communication, writing and organizational skills.
- Strong computer skills are essential. Expertise on Outlook and the MS-Office product suite is a necessity, including Word, Excel and PowerPoint.
- Ability to work well in a collaborative environment and interact effectively with all levels of management and employees.
- Self-directed and results-oriented with the ability to complete assignments in a timely manner.
- Ability to handle multiple priorities and make clear and timely decisions.
- Ability to work with minimal supervision, set goals, create and implement action plans and monitor progress towards goals.
- Highly developed customer service skills.
- Ability to manage conflict and be comfortable with change.
- Excellence in Microsoft office and technology to create and deliver presentations, spreadsheets, etc. The anticipated hourly range for this position is $https://31.25 to $https://49.25. Exact hourly rate depends on several factors such as experience, skills, education, and budget. Hourly range may vary based on geographic location. In addition to hourly rate, this position may be eligible for an annual discretionary bonus.
