Job Description:

The following provides a summary of the job description supporting PRM PMO admin activities:

  • Proficiency in Microsoft Office applications, specifically Word, Power Point, and Excel

  • Exercises control over the Director’s daily calendar, establishes priorities, schedules meetings and appointments, accepts or decline invitations, and arranges for substitute representation without prior approval based on personal knowledge of the Director’s preferences, priorities, commitments, and protocol, workload, current issues, and unwritten policies and practices

  • Receives and screens visitors and phone calls, answers most questions and completes most business involving established policy or routine matters without referring people to the Director

  • Prepares travel orders and vouchers through DTS

  • Uses the DAU business systems to submit and/ or process actions such as onboarding, off boarding, MIPR requests, training requests, supply, and purchase requests

  • Coordinates and attends meetings, takes and distributes minutes, conducts research, and coordinates other office needs (e.g. office moves)

  • Composes non-technical correspondence and standard operating procedures on a variety of topics such as office procedures, requests for information, and the handling of other sensitive matters based on knowledge, policies, precedents and practices

  • Creates and maintain office and project documents such as Team handbook, emergency procedures, etc.

  • Be able to operate the audiovisual equipment used in the conference room environment. Ensures meetings are set up, start timely (Skype/ DCS/ bridge lines), and materials/ equipment for the meetings are ready in advance

  • Demonstrates organizational skills to manage PRM material using an Excel tracking sheet and coordinating data entry from multiple sources

  • Provides support to all PRM departments as requested (e.g. PRM HQ, Business Center, Scheduling; Budget & Finance; DAI). For example processing transcript requests, assisting with budget reports, and monitoring contracts status

  • Collects, compiles, formulates, and disseminates pertinent data related to all the different functions and meetings within PRM for which the Director of PRM is responsible in a timely manner. Ensures effective communication to include advising of completion of actions

  • Maintains and creates metrics (e.g. DAU Business Center data using the Appian Software as well as the Data Warehouse or required annual training completions)

  • Interfaces daily with DAU internal and external customers

  • Establishes and maintains relationships with key individuals/groups outside immediate work unit

  • Effectively plans and organizes data and related information

  • Assists with coordinating, scheduling, and conducting PRM all-hands meetings and training sessions

  • Demonstrates professional behavior (e.g. arrives timely, dresses appropriately, communicates professionally, and completes tasks timely)

  • Provide a bi-weekly status report showing a status of tasks, accomplishments, and any potential risks

  • Maintain all assigned documentation, maintain configuration management, and make updates as required
