How You'll Make an Impact

  • Ensure accurate and timely site and project reporting by collecting, organizing, and maintaining progress data and records.

  • Enable effective project communication by supporting the preparation of progress, site, and management presentations.

  • Keep site activities on track by attending meetings, documenting minutes, and following up on assigned action items.

  • Support smooth site operations by onboarding new personnel and guiding them through site routines, processes, and facilities.

  • Provide visibility and compliance by tracking site personnel presence, working hours, and timesheets, and sharing insights with relevant departments.

  • Contribute to operational excellence by implementing business processes and continuously improving administrative procedures to increase efficiency.

  • Support daily site logistics by coordinating travel, accommodation, transportation, deliveries, and office facilities.

  • Maintain a safe and well-functioning site environment by coordinating suppliers, managing office resources, and ensuring PPE availability.

Your Background

  • Formal education or proven experience in administration, office management, project support, or a similar role, preferably in a construction or site-based environment.

  • Experience supporting projects with reporting, documentation, record-keeping, and presentation preparation.

  • Strong organizational skills, with the ability to manage multiple administrative and logistical tasks simultaneously.

  • Experience coordinating site logistics such as travel arrangements, accommodation, vehicles, facilities, or supplier services.

  • Good working knowledge of data tracking, tables, charts, and maintaining records in both electronic and hard-copy formats.

  • Strong communication skills, with the ability to interact effectively with site teams, home-office stakeholders, suppliers, and contractors. English and Spanish are required

  • A proactive, service-oriented mindset with the ability to identify inefficiencies and contribute to continuous improvement initiatives.

  • Comfortable working in a dynamic site environment and providing backup support during absences or workload peaks.
