t-paced, rapid-growth environmentThe Compliance Department holds a pivotal role in bolstering the regulatory and governance operations of our investment firms. You will be responsible for diverse array of areas, encompassing support for due diligence processes involving external distributors, the adept handling of external requests for proposals (RFPs), facilitation of entity governance workflows and regulatory filings, assistance the oversight of compliance disclosures and approvals pertaining to Gifts and Entertainment, Personal Account Dealing and Outside Business Activities, review of marketing materials, and provision of administrative assistance and log maintenance spanning our varied international locations. The Compliance Assistant will collaborate closely with our Compliance Officers and fellow international team members, ensuring unwavering adherence to both regulatory mandates and internal protocols.
This person will be based in Lisbon, reporting to a Managing Director within the International Compliance Team.
Responsibilities:
- Support Due Diligence workflows on external distributors;
- Assist in the collection and review of due diligence documentation from external distributors;
- Maintain organized records of due diligence materials and minutes of oversight meetings;
- Collaborate with team members to ensure due diligence procedures are followed and documented;
- Handle External Requests for Proposals (RFPs) and Due Diligence Questionnaires;
- Respond to external RFPs and due diligence questionnaires from third-party entities;
- Coordinate with relevant teams to gather necessary information for responses;
- Maintain a repository of standardized RFP content for efficiency;
- Support Entity Governance Workflows;
- Schedule and organize board and committee meetings, including agenda preparation;
- Assist in record-keeping for these meetings, ensuring all documents are properly archived;
- Help facilitate communication between governance bodies and relevant stakeholders;
- Assist on Regulatory Filings;
- Assistance the oversight of compliance disclosures and approvals:
- Gifts and Entertainment
- Personal Account Dealing
- Outside Business Activities
- Review of marketing materials
- Administrative Management Across Different Locations:
- Maintain and update compliance processes and procedures and logs
- Facilitate knowledge sharing within the compliance team across various locations
- Support team members with administrative tasks to ensure smooth operations
Candidate Profile:
- Solid academic background, Bachelor's degree;
- Strong organizational and multitasking skills and ability to prioritize assignments;
- Detail-oriented and capable of working with confidential information;
- Knowledge of regulatory requirements and industry standards is a plus;
- Around 5 years of relevant work experience, even if not directly on all areas as training is provided when necessary;
- Strong oral and written communication skills - proficiency in English required;
- Strong knowledge of Microsoft Office.
