The Assistant bridges strategic facility management and day-to-day execution by handling work orders, vendor coordination, logistics, and administrative support.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Serve as the primary point of contact for all facility-related service requests
Receive, prioritize, assign, and track work orders through completion
Ensure timely resolution of maintenance issues, including HVAC, plumbing, electrical, and general repairs
Maintain accurate records of maintenance activities for reporting and analysis
Coordinate inspections and servicing for HVAC, fire systems, elevators, and other critical infrastructure
Identify recurring issues and recommend operational improvements
Act as the liaison between the organization and third-party vendors
Schedule, coordinate, and oversee vendor services to minimize business disruption
Monitor vendor performance against service level agreements (SLAs)
Review and confirm services are completed as contracted
Assist with vendor sourcing, bidding, and onboarding processes
Support day-to-day facility activities including utilities, access control, and workspace functionality
Ensure common areas and workspaces meet cleanliness and operational standards
Provide meeting room setup, internal catering coordination, and event support
Manage office supplies and ensure timely replenishment
Execute mailroom operations, including shipping, receiving, and distribution
Maintain up-to-date documentation for inspections, certifications, and service records
Track maintenance and operational expenses and support budget management
Prepare reports and maintain organized documentation for contracts, warranties, and services
Provide responsive and professional support for facility-related inquiries
Communicate updates on maintenance activities, outages, or workplace changes
Follow up with employees to ensure satisfaction with completed services
Present information and respond effectively to questions from employees, vendors, and leadership
JOB QUALIFICATIONS
KNOWLEDGE REQUIREMENTS
Strong problem-solving skills with the ability to collect data, analyze information, and draw valid conclusions
Effective communication skills, both verbal and written
Ability to manage multiple tasks and prioritize work in a fast-paced environment
Proficiency in Microsoft Office and Windows-based systems
Ability to operate facility management or company-specific software systems
Basic math skills, including ability to calculate rates, ratios, and percentages
Strong organizational and record-keeping skills
Ability to work independently and follow standard procedures
