Handle client interactions and departmental scheduling, ensuring seamless communication and coordination.
Collaborate with other stakeholders, delegating tasks as needed.
Arrange complex global travel and entertainment bookings while monitoring and enforcing compliance with company policies, ensuring timely submission of required documentation.
Utilize internal systems for data entry, reporting, and information management.
Maintain distribution lists, technology usage, and administrative tasks.
Support projects and training initiatives to enhance team operations.
Provide coverage for assistants across other Lines of Business as required.
Required qualifications, capabilities, and skills:
Proficiency in English and German, with strong communication skills.
Proven experience as an Executive Assistant, with a track record of managing complex calendars and supporting senior stakeholders.
Prior experience interacting with clients, demonstrating professionalism and effective communication.
Expertise in arranging complex travel and optimizing schedules and costs.
High attention to detail and ability to deliver quality results under pressure.
Strong team player with a positive, solution-oriented mindset.
Interest in technology and familiarity with expense systems.
Adaptability to changing priorities and an understanding of the Payments banking environment.
Ability to act as a role model, maintain professionalism, and ensure compliance with internal policies.
Proactive in identifying and escalating concerns or issues to maintain operational integrity.
Preferred qualifications, capabilities, and skills:
