The role:
We are recruiting an exciting opportunity for a Team Assistant and Billing Co-ordinator to join our team in Melbourne.
What's in it for you?
Primary focus for the role is to provide secretarial and administrative support; supporting teams in all day to day operations, liaising with staff on organisational, administrative and secretarial tasks, and providing accurate and efficient support. Also responsible for regular and ad hoc reporting, development materials and business proposals, and preparation of client presentation materials.
What can you expect?
- Demonstrate initiative and proactivity in providing general administrative support to the team, and manage the administrative component of multiple stakeholders
- Work with in-house databases and systems expense, BCD travel, MercerForce, Webcas iProcurement, and monthly Amex reconciliations
- Manage regular and ad hoc reporting, develop training materials and business development proposals, and prepare client presentation materials
- Coordinate quarterly and monthly reporting and invoices
- Assist with planning for internal and external meetings and events including room bookings, catering and appropriate paperwork
- Interface with other parts of the business, clients and external bodies to answer queries and provide good customer service
- Engage and work with internal functions, where required (e.g. Human Resources, Facilities Management, Information Technology) to assist with office management and colleague onboarding
We will need from you:
Good team player who will enjoy working with a positive highly motivated team of professionals
Ability to meet deadlines and work well under pressure
Exceptional organizational skills including the capacity to anticipate needs and prioritise tasks
Preferred experience includes working with internationally connected organizations and/or financial services industry
Excellent written and oral communication skills
Flexible when occasional projects require extra resources
Expert with Outlook and the following Microsoft packages
Advanced Word and PowerPoint
Intermediate to Advanced Excel
