    Position summary

    ROLE SUMMARY

    The Site Affairs, Associate Pearl River will provide comprehensive support to the Pearl River Site Affairs and Communications Team based in Pfizer’s Pearl River, New York site which serves as the global headquarters of Pfizer Vaccine Research and Development. This role will effectively execute end-to-end management of project responsibilities related to key Vaccine R&D initiatives and Pearl River Site related events. The includes duties such as event planning, meeting coordination, communicating with third parties such as vendors, and managing other business needs as requested. The colleague will work independently in self-directed environment and taking accountability for decisions and outcomes.

    ROLE RESPONSIBILITIES  

    • Lead Pearl River Site Affairs projects, either alone or in partnership. This includes planning meetings and events for the Vaccine R&D Leadership Team and Pearl River Site Leadership Team such as Town Halls, All-Hands Meetings, VIP site visits, Science & Culture events, colleague engagement events, onboarding new hires and interns, etc.
    • The colleague will coordinate support functions for the event and activities they support, e.g., catering, AV equipment, communications.
    • Manage overall Pearl River site calendar of events, working with other Site Affairs colleagues, VRD administrative professionals and VRD and Site leadership team members as appropriate.
    • Support the VRD and Site Communications, helping to develop and leverage Pearl River SharePoint site and Yammer to increase the value and utilization of these channels among target audiences.
    • Providing meeting management support including agenda development and distribution, meeting material coordination and distribution, tracking decisions and action items.
    • Coordinate WRDM and VRD Awards award recognitions and distributions for the site.
    • Work in close collaboration with finance partner to monitor budget to ensure it is aligned with plan.
    • Applying and adhering to financial and compliance systems/processes.

    BASIC QUALIFICATIONS

    • High school diploma or GED
    • Candidate should have 2+ years project management or event planning experience
    • Demonstrated strong self-starter, independent, pro-active, and self-motivated
    • Exceptional organizational skills are required. Candidate must be able to identify priorities and exercise sound judgment in accomplishing work in appropriate priority order, based on own assessment of urgency and importance, working with a minimal amount of supervision.
    • Ability to work well both in team environment as well as operate independently with minimal supervision
    • Possess excellent communication skills with an ability to respond with professionalism in verbal and written communications with all levels of the organization
    • Use good judgment while working with highly sensitive, confidential material and information
    • Independent, proactive and anticipate needs versus reactive
    • Excellent typing and proofreading skills
    • Proficiency in MS Word, Excel, PowerPoint, and Outlook are essential
    • Proficiency in Pfizer systems
    • Ability to work flexible hours (early AM, overtime, etc.) when needed

    PREFERRED QUALIFICATIONS

    • Bachelor’s degree
    • 4+ years project management or event planning experience
    • Knowledge of Pfizer organization processes and procedures preferred
    • Strong organizational knowledge of Pfizer headquarters environment preferred

    NON-STANDARD WORK SCHEDULE, TRAVEL OR ENVIRONMENT REQUIREMENTS
