    Position summary

    Our Role:
     

    We are seeking an enthusiastic individual to act as administrative support. This position will be based in Dublin and report into the Head of Office. The successful candidate will support both the Dublin and London Operation based teams and as part of their role will also interact with PGIM staff located in London and the U.S. The candidate will ideally view the role as an opportunity for development and learning.

    As a result of growth and Irish regulatory requirements PGIM Investments has established a new Dublin based management company - PGIM Investments (Ireland) Limited (the “ManCo”). The ManCo will initially be staffed by nine full time employees and provide the substance, governance and oversight required by the Central Bank of Ireland as well as contributing to the broader business’s functional areas. Our staff work closely with colleagues based in London and the US.

    Key Responsibilities:

    • Provide a high level of service to Dublin and London Operation based employees.
    • Assist with planning, preparation and logistics  for the Board meetings as well as other internal and external meetings including arranging video conference connectivity, international dial in numbers for conference calls, preparing board rooms, meeting materials and other logistics.
    • Attend certain internal meetings ensuring meetings notes are typed, circulated and logged as appropriate and requests/comments expressed during meetings or after are being addressed and any further materials sent as requested.
    • Greeting and assisting all visitors to the office.
    • Management of all office supplies including interaction with 3rd party suppliers.
    • Coordinate international travel arrangements, including preparing travel itineraries
    • Create and proofread documents such as agendas, meeting summaries, meeting minutes, memos and presentations.
    • Assistance with staff expense reimbursements.
    • Liaise with the IT department to manage and resolve IT/mobile device issues.
    • Management of mail.
    • Perform other administrative duties and special projects as assigned.

    Your Required Skills:

    • Previous experience in a similar role.
    • Board meeting and minute taking experience
    • Experience in the asset management industry desirable but not essential.
    • Strong work ethic.
    • Excellent communication skills with the ability to maintain close communication with stakeholders including those in the most senior levels within the global organisation.
    • Strong proficiency using Microsoft Office (Word, Excel and PowerPoint) and Outlook.
    • Strong organisation skills.
    • Excellent judgment and discretion required in handling sensitive and confidential information in a respectful manner.
    • Flexible, strong and self-assured personality.  Demonstrates a sense of urgency, speed, and efficiency.
    • Able to maintain a high level of productivity and self-direction especially if working virtually.
