JOB SUMMARY
The Sr RE Records & Portfolio Spec serves as a key member of the Real Estate Records and Portfolio Management team. The Records and Portfolio Management team supports a broad and diverse set of needs from basic management of lease abstractions and critical dates to full financial management of landlord invoices and reconciliation audits, providing comprehensive knowledge and access to data across the portfolio that enables our company to make strategic real estate decisions that support and enhance our core business. Our portfolio consists of approximately 25 million square feet and approximately 3,400 properties, ranging in size, scale, complexity and use.
This position is responsible for day-to-day lease complex administration services within an assigned area of Charter’s owned and leased portfolio. With an intense focus on data integrity, accuracy and process consistency, this position will partner with teams within Corporate Services, business stakeholders and legal counsel. Additionally, this position will be responsible for developing and maintaining relationships with attorneys, landlords and other relevant third-party consultants that support Charter’s real estate initiatives.
MAJOR DUTIES AND RESPONSIBILITIES
Actively and consistently supports all efforts to simplify and enhance the customer experience
Full scope property and lease administration services
Assist Portfolio and Records Management Manager with designing, producing, and review of selected monthly/quarterly reports
Training of new Lease Specialists
Abstract and interpret complex or higher dollar value commercial lease documents (leases, amendments, subleases)
Rent analysis and rent payment processing
Vendor/landlord relationship management
Act as a second level representative for resolution of rent and other landlord/tenant issues
Review annual landlord reconciliation statements and real estate tax calculations to ensure accuracy and lease compliance
Data entry and data management of lease documents
Track and maintain critical dates
Draft landlord notices, coordinating legal review and obtaining signatures for SNDAs, estoppels, and other transaction related documents
Respond to questions with regard to procedures, lease interpretation, and billing calculations
Special projects as assigned by manager
Perform other duties
REQUIRED QUALIFICATIONS
Required Skills/Abilities and Knowledge
Ability to read, write, speak and understand English
Prior experience with using a lease administration database
Proven ability to interpret complex commercial lease language
Proven customer service skills to include handling escalated situations
Advanced financial/analytical skills
Demonstrated oral and written communication skills
Demonstrated organizational skills
Attention to detail
Proven ability to work independently and within a team to build relationships and interact effectively with business partners
Ability to multi-task, work successfully under pressure and effectively manage time and workload Advanced proficiency in Microsoft Office (Word, Excel, and Outlook) with the capability to master company specific databases / programs
Basic math skills
Demonstrated experience in increasing levels of responsibilities
Required Education
Bachelors in real estate related field, or business administration, or paralegal studies, or equivalent work experience
Required Related Work Experience and Number of Years
Real Estate experience 4+
