ABOUT THE ROLE**:**
The Executive Assistant will provide all aspects of administrative and contracting support to the Development team, Ward Village.
WHAT YOU WILL DO**:**
Performs high-level administrative work, including frequent complex and confidential clerical work organizing, scheduling, coordinating, researching, compiling, exchanging and analyzing information.
Works closely with development and legal teams to prepare, submit, and track the execution of contracts, utilizing appropriate systems (e.g. COUPA, Salesforce, ebuilder).
Track, review, and maintain current insurance certificates related to vendor contracts.
Prepares formal correspondence and communications with various stakeholders with government agencies, consultants, contractors, tenants, etc.
Participates in administrative support functions such as budgeting or creating and maintaining spreadsheet tracking reports.
Contacts are with executives, managers, other employees and customers mainly to assist with information exchange, problems and requests.
Assists in daily business, which includes general office work, answering phones, greeting guests and word processing, sorting, e-filing and distributing mail.
Manage all team meeting coordination details including: location (if required), catering, AV equipment, meeting materials, etc.
Schedules meetings/conference calls and appointments, makes travel arrangements, as needed.
On an as needed basis, may provide administrative support to other members of Development Team.
Preparation of team member expenses and related travel reimbursables using Concur.
Other duties as assigned.
College degree or equivalent preferred.
Minimum 5 years of executive administrative experience.
Preferred experience in construction, real estate, development, law or accounting.
Professional interaction with clients and vendors.
Highly proficient in MS office applications: Word, Excel, Power Point, Outlook, Adobe.
Build positive working relationships with employees at all levels within the organization.
Exercise sound judgment when making decisions.
Work overtime as required.
Able to meet deadlines as necessary.
Effectively work with minimal supervision.
Strong Organization and Attention to Detail skills.
