Our selected REMOTE Deposition Coordinator shall join a fast-paced, dynamic team of New York Staff Legal professionals who provide integral clerical resources for a busy litigation team. As a key member of our litigation team, the Deposition Coordinator will be primarily responsible for managing the deposition calendar for Queens, Nassau, Suffolk, Westchester and all upstate New York counties for 15 remote Attorneys. In coordination with the Attorneys, the Deposition Coordinator will be tasked with ensuring scheduling of deposition dates with other counsel and clients via telephone and email while balancing daily tasks in support of this extremely busy litigation practice. This position requires that the Deposition Coordinator be able to multi-task, respond to scheduling issues in a timely manner and effectively communicate with clients and adversaries in a calm, courteous, professional manner while managing the deposition calendar. The ideal candidate will thrive on a team where teamwork and new ideas for process efficiency are valued!
RESPONSIBILITIES:
Efficiently support Staff Attorneys' needs for weekly calendar assignments
Schedule and confirm daily depositions
Demonstrate professional diplomacy and strong verbal communication skills during all interactions with our clients, opposing counsel and business partners
Confirm deposition appointments in a timely manner
Collaborate with court reporting services to facilitate deposition scheduling, transcript processing and invoicing
Manage all steps relative to data entry of deposition scheduling into our case management software (Aderant Total Office-ATO)
Monitor e-faxes and electronic service mailboxes
Prepare correspondence to clients for deposition appointment updates.
Assist in the calendaring of court appearances
Ensure that form letters and templates are accurately generated
Assist Operations Team Lead with additional projects or administrative items
QUALIFICATIONS:
Minimum of 2 years legal administrative support experience is required
Minimum of 2 year of clerical deposition experience is required
Familiarity with the local New York county courts and filing processes
High School Diploma is required, additional education is a plus!
Demonstrated capacity to multi-task, set priorities and manage shifting priorities within tight timelines
Readily able to independently navigate a high-volume environment
Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint & Outlook)
Working knowledge Microsoft Teams is preferred
Excellent communication and professional diplomacy skills (verbal and written)
Strong attention to detail and effective organization skills
Demonstrated ability to use discretion when working with confidential and sensitive information

Compensation
The listed annualized base pay range is primarily based on analysis of similar positions in the external market. Actual base pay could vary and may be above or below the listed range based on factors including but not limited to performance, proficiency and demonstration of competencies required for the role. The base pay is just one component of The Hartford’s total compensation package for employees. Other rewards may include short-term or annual bonuses, long-term incentives, and on-the-spot recognition. The annualized base pay range for this role is:
