Position summary

The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This candidate must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting executive leaders within a complex financial services organization.

The ability to interact with individuals (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks.

This role entails a hybrid schedule of Tuesday and Wednesday in-office, the remainder of the week remote.

This position will support the Vice President of Personal Lines Data & Analytics.

Responsibilities:

  • Act as a coordinator for various departmental training and support new hire onboarding activities as needed (i.e., ordering equipment, desk assignments, etc.)
  • Lead content creation efforts for key meetings, edit presentation materials and ensure availability. As needed, produce ad hoc reports, and manage special projects (outline project needs, work with various groups to acquire necessary data, provide analysis and recommendations)
  • Effectively manage calendar of appointments by scheduling requests for meetings using appropriate prioritization and proactive decision-making skills to resolve potential schedule conflicts
  • Act as administrator of team Share Point site, organizing and maintaining team documents
  • Ensure timely submission of all expense reports, in accordance with company policy; act as proxy for assigned leaders for company systems (Workday, Concur Travel, PeopleSoft expense reporting,)
  • Adapt procedures, processes, and techniques to the completion of assignments and ensure they are in line with the department's activities and goals
  • Complete other ad hoc duties or special projects as requested, including event planning, office moves, etc.
  • Initiate timely response to emails, voicemails, and written correspondence
  • Exercise independent judgment, escalating only serious or unique problems to higher levels
  • Power user of critical technology applications: Microsoft 365, Workday, Travel and Expense applications
  • Monitor and maintain leaders’ email communications as appropriate and/or requested
  • Coordinate office supply ordering and equipment requests
  • Assist in monitoring of reports (budget, staff allocation, etc.)

Qualifications:

  • The successful candidate will have a minimum of 5 years of administrative experience supporting at the Executive level
  • Bachelors or Associates degree is preferred, but not necessary
  • Excellent customer service skills, verbal and written communication skills and mastery in planning and organization
  • Expert knowledge of: Microsoft 365, Workday, Travel and Expense applications
  • Displays a high level of initiative and is a self-starter, self-directed, highly motivated, and able to work in a fast-paced environment
  • Must be detail-oriented and able to work on multiple assignments simultaneously
  • Efficiency and ability to prioritize tasks is essential
  • Ability to communicate on behalf of leader to all levels of staff
  • Must understand or be able to develop an understanding of the complex matrix of different levels of required confidentiality and how they differ from person to person and role to role

Compensation

The listed annualized base pay range is primarily based on analysis of similar positions in the external market. Actual base pay could vary and may be above or below the listed range based on factors including but not limited to performance, proficiency and demonstration of competencies required for the role. The base pay is just one component of The Hartford’s total compensation package for employees. Other rewards may include short-term or annual bonuses, long-term incentives, and on-the-spot recognition. The annualized base pay range for this role is:

$57,520 - $86,280
