We are currently seeking a Procurement and Proposal Management Associate to join our Procurement and Proposal Management (PPM) team. The PPM team is an integrated shared service organization dedicated to coordinating proposal responses to formal government, corporate, and law firm solicitations RFXs (RFPs, RFQs, RFIs, etc.), as well as responding to customer inquiries such as forms, certifications, and disclosures. Our work environment is collaborative, flexible, fast-paced, and deadline driven. The Procurement Associate will be responsible for:
- Performing bid monitoring to help ensure new opportunities are identified and routed efficiently for evaluation and assignment.
- Coordinating U.S. federal, state, and local government and corporate vendor registrations.
- Completing forms, certifications, and disclosures to remain compliant with new and existing contracts, regulatory requirements, and formal RFx solicitations.
- Providing support to procurement and contracting activities for both new and renewal business.

About the Role
In this opportunity as Procurement & Proposal Management Associate, you will:
Bid Monitoring, Vendor Registrations, and Forms and Certifications
- Perform daily bid monitoring activities to identify formal bid opportunities/updates/awards for federal, state, and local government customer’s business by reviewing government bid site “push” e-mails, linking out to designated commercial bid services companies and government sites, and monitoring for upcoming opportunities reported by field/inside sales personnel.
- Complete vendor registration and perform annual updates of federal, state, and local government bid sites, as well as corporate vendor registrations.
- Compile data, and complete/submit forms, certifications, and disclosures for government and corporate customers in compliance with procurement regulations and contracting requirements for new and existing customers, as well as for formal RFXs/solicitations.
- Manage NAICS/NIPG codes, commodity codes, and key words for effective bid monitoring. Continuously explore process efficiencies in bid monitoring, vendor registrations and forms, certifications, and disclosures.
Repository Management
- Manage, update, and maintain the forms, certifications, and disclosures repository of standard question and answer pairs.
- Maintain and update forms, certifications, and disclosures library of completed forms, certifications, and disclosures to be used as a template for future customer requests.
- Maintain master file of company information in the RFx repository.
- Assist team Knowledge Manager with miscellaneous projects related to building, maintaining and updating RFX repository.
- Maintain master file of vendor registration information for government and corporate customers.
- Maintain master Procurement Associate Guidebook.
Miscellaneous Procurement-Related Responsibilities
- Compile and complete proposal materials for RFI/RFQ responses to basic formal and informal government solicitations.
- Contribute to the ongoing development of best practices and streamlining of processes and tools to effectively manage the ever-increasing volume of workflow.
- Participate on special projects related to procurement activities as needed.
About You

- Post-secondary education preferred, but equivalent experience will be considered.

- Ability to work under pressure to manage multiple priorities, often with competing and tight deadlines.
- Strong attention to detail.

- Demonstrated soft skills, including the ability to effectively interact, communicate, and work well as a team member with internal and external partners at all levels of the organization. Ability to build rapport and trust with internal stakeholders and customers.
Nice to Haves
- Existing knowledge and experience with government contract administration processes and compliance activities.
- Existing knowledge and experience with government RFx bid processes.
- Existing knowledge of state/local vendor registration and federal SAM and FedBizOpps processes.
- Strong follow-up and follow-through skills.
- Demonstrated advanced proficiency in Microsoft Office components.
- Effective written communication skills.
- Working knowledge of SAP customer transaction codes.
- Experience with an electronic contract management system (e.g., SharePoint).
- Experience with proposal creation software (e.g., Qvidian, Loopio).
