Responsibilities:
Calendar & Schedule Management
- Expertly manage and optimize the leader's schedule, including internal and external meetings, strategic events, and travel logistics.
- Anticipate scheduling conflicts and proactively resolve issues to maximize the leader's time and effectiveness.
Business Operations & Administrative Support
- Prepare high-quality meeting materials, reports, presentations, and documentation that support decision-making and strategic initiatives.
- Maintain organized, confidential, and accessible records and files.
- Oversee invoice processing, expense reimbursements, vendor coordination, and other essential administrative functions with accuracy and discretion.
Meeting & Event Coordination
- Plan and coordinate business meetings, workshops, and team events, managing logistics, agendas, and follow-up actions to ensure smooth execution and impactful outcomes.
Project Support & Cross-Functional Collaboration
- Track project timelines, deliverables, and key actions to keep initiatives on schedule.
- Serve as a trusted liaison, communicating effectively with internal teams and external stakeholders on behalf of the leader.
- Engage in high-level projects and business discussions, gaining hands-on experience with data analysis, strategy development, and operational planning.
Qualifications
Minimum Qualifications:
- Bachelor's degree or above.
- Minimum 3-5 years of experience in executive support, administrative management, or related roles.
- Fluency in English (written and spoken) required.
- Strong organizational and time-management skills with keen attention to detail.
- Demonstrated ability to handle confidential information with integrity.
