    About the Team
    The Workplace Services Coordinator is the face of TikTok, helping to deliver exceptional guest experiences that brings the TikTok brand to life. The Workplace Services Coordinator serves as a daily resource to employees, clients and business partners by effectively managing workplace needs and acting as an enthusiastic brand ambassador.

    In order to enhance collaboration and cross-functional partnerships, among other things, at this time, our organization follows a in-office work schedule that requires employees to work in the office 5 days a week, or as directed by their manager/department. We regularly review our work model, and the specific requirements may change at any time.

    Workplace Experience

    • Deliver a best-in-class employee and guest experience that is unique and brings the TikTok brand to life.
    • Handle all guest and employee interactions with the highest level of professionalism and hospitality to ensure we are always exceeding expectations.
    • Collaborate with IT and HR to deliver the best onboarding experience for TikTok employees.
    • Provide concierge services, conference room bookings, client office visits as well as client catering/event experience.
    • Help identify processes and procedures that best serve the needs of the business and TikTok employees, while contributing to a fun and productive environment for the local team.
    • Maintain a presence on Lark communication platform to ensure employees feel connected to an attainable resource.

    Workplace Management

    • Ensure guests are properly signed into the Visitor Management System and working with the security team to assign temporary badges as needed.
    • Complete a daily check of temporary access cards. Ensure all cards are accounted for and returned daily.
    • Maintain an electronic list of access cards assigned to staff, providing lost or damaged access card numbers to the security team for cancellation.
    • Develop systems to organize workflow to ensure quality, precision, and timeliness of outputs.
    • Partner and develop strong relationships with all key business partners including local Business leaders, IT, HRBPs, Finance, and Procurement.
    • Help identify gap in efficiencies to promote future growth of the organization and improve our collaboration with key vendors and internal business partners.
    • Manage and execute the local food & beverage program.
    • Manage and execute local mail operations - shipping & receiving
    • Ensure we have the best in class suppliers for our offices and effectively implement vendor management best practices.

    Facilities Management

    • Prioritize building maintenance, communicating any and all maintenance issues to our internal and external partners in a timely and efficient manner.
    • Maintain a preventative maintenance log for all facility related matters.
    • Monitor employee compliance of all physical security controls for the building.
    • Assist with managing janitorial services.
    • Provide support for local real estate projects, upcoming office moves, setting up new services and being liaison between the internal and external stakeholders.
    • Support the planning and organizing space moves and neighborhood mapping.

    Culture & Engagement

    • Assist in office communications for social events and employee announcements in a manner that is consistent with TikTok values.
    • Partner with the OCEB teams to support the logistics, planning and all facility related items for internal events that promote employee engagement, and create a sense of community.

    Qualifications

    Minimum Qualifications
    • 2+ years of experience in facilities, hospitality or business operations.
    • Self starter; requires minimal supervision, is proactive, and can report to a remote manager.
    • Proficient in maintaining cooperative working relationships inside and outside of the organization.
    • Must possess exceptional organizational and project management skills.
    • Must have a great can do attitude and willingness to complete the job.

    • Ability to work onsite at the assigned Washington D.C campus.

    Preferred Qualifications
    • Facilities or Building Operations & Management background is a plus.
    • Experience in Tech, start up, fast paced environments/organizations.
