We’re looking for a Senior Talent Acquisition Specialist to join our Talent Acquisition Operations team for a 12 month contract.  In this role you’ll play a leading role in ensuring we recruit the best talent at TJX Europe by supporting the management of core Talent Acquisition processes, systems and related reporting and policies, ensuring they are fit for purpose. Support the delivery of reporting, process updates and continuous improvement projects which make our people, processes or deliverables more effective.

During your time with us you’ll get to support the maintenance and delivery of Talent Acquisition projects and systems (including Vendor Management System, Onboarding and TMS related projects) ensuring on-time delivery and applying sound project governance as a European subject expert.

This role will really suit someone who has a keen interest in systems and data, is wanting to do a role that is primarily project focussed and who loves to lead and partner with a range of stakeholders.

About the role

In this position you'll be responsible for:

Programme support

  • Support with the delivery of the European Hiring Compliance programme to be rolled out to all countries hiring high volume (store and PC associates, Team Leaders):

  • Manage the programme plan (monitor activity & timelines, open questions, and risks and issues). Support workstream leads to update programme plan, checking plan for issues and escalate to programme manager as needed.

  • Lead the regular workstream leads meetings for status updates from the project leads while assessing timelines, risks and issues.

  • Diary management & meeting records – arrange workstream leads, programme board, working group and ad hoc meetings as requested by programme manager. Take notes, actions and update programme plan accordingly. Follow up on actions as needed.

  • Coordinate and update communications for stakeholders (PMO weekly updates, create template decks for working group, and steerco as required, creation of content for works councils, update of milestone plan).

  • Escalate key concerns against the plan to project leads and programme manager.

  • Lead the end to end process design improvements, gathering information to support project leads with decision making.

  • Update process maps as required to complete the process design.

  • Provide support and to the project team as well as chase for completion of tasks, required content and responses to open questions.

  • Plan ahead to collate agenda, actions, updates and decisions  for meetings and engagements with stakeholders.

  • Own programme budget tracker and coordinate updates with workstream leads while checking for accuracy and report status of spend to programme manager.

  • Present decks at Pgm & Steer Co on screen and keep records of discussions and actions

  • Lead point of contact for HR Project Management Office (PMO) by supporting with questions and programme status/timeline updates.

  • Lead go live reporting set up and initial launch to monitor progress in partnership with programme leads and hypercare teams.

Talent Management System and systems governance

  • Support translations for content.

  • With the support of the recruiters and the content and channels team, project manage improvements to TMS communications required (notifications to candidates, hiring managers, FAQs, guidance etc).

  • Support the TA Manager with TMS enhancement and change projects as required and subsequent testing prior to deployment of enhancements.

  • Provide assistance to the Channels and Content team with launch of new careers website

  • Provide support to TA Systems Mgr and Channels team with implementation of new CRM from system configuration, embedding with recruiter team, reporting and to channels and content team.

Project Management, Tools, Process & Reporting

  • Drive accuracy of central recruitment reporting by reviewing errors and communicating with recruiters to reconcile and escalate to TA System Mgr where required.

  • Support development and validity of source of application and hire reporting with channels and content team.

  • Develop and build newly required reports working cross functionally with HRBPs and ER to define requirements and build data fields in TMS where required.

  • Provide general support to reporting where required with adhoc requests, maintenance and continuous improvement

  • Support and maintain TA budget with Admin Team and TA Mgr to resolve discrepancies and support recruiters with routine to regular update.

  • Support contents and channels team with Ops inbox as needed

Stakeholder Management

  • Able to build and maintain effective partnerships across various levels of the TA team and other partnering teams e.g. HRSC, HRIS, Finance.
  • Provide subject matter expert guidance to stakeholder groups to support and influence decision making

  • Build trusted relationships with Recruiter team
  • Support wider TA team and Admin team with training on new or updated process, latest operations initiatives and reporting.
  • Act as subject matter expert and key point of contact in order to provide guidance and is a member of the team who can share knowledge

About you

We’re looking for someone with proven operational TA experience.  Delivery focussed with the ability to work to deadlines, you’ll have proven problem-solving capability and be a quick thinker with strong attention to detail.  Your ability to prioritise and manage your own work load & time effectively, coupled with your strong organisational and planning skills and ability to multi task, will enable you to work unsupervised and demonstrate initiative.

You’ll need to be an experienced user of Excel and PowerPoint and comfortable with large amounts of data and the ability to focus on detail.
