Who we’re looking for
Toyota’s Legal Operations and Litigation Support Department is looking for a passionate and highly motivated Senior Legal Assistant.
The primary responsibility of this role is to create and manage travel arrangements for senior counsel, expense reports, and meeting/conference room scheduling and other duties as assigned.
Reporting to the Legal Operations Manager, the person in this role will support the Legal Operations and Litigation Support department's objective to take on the technology, financial, compliance and operational work that doesn’t necessarily require a law degree. In that way, our in-house lawyers are more efficient and deliver better results because they are free to focus on legal work.
What you’ll be doing
Assisting with manual invoice processing
Providing assistance closing cases, including requesting settlement checks and transmitting them to outside counsel; and closing files
Updating the legal matter management system as requested
Point of contact for physical moves, office space allocation, maintaining map of TL1 team members locations/ office/ desk numbers, etc.
To a lesser extent: making travel arrangements, preparing expense reports, and managing meeting/conference room scheduling
Other duties and projects, as assigned
What you bring
Experience in administrative support function, with law firm or corporate law department, experience desired
Initiative, detail-orientation and strong organizational skills
Familiarity with, and proficiency in, law department matter management systems and processes
Demonstrated strong word processing and computer skills required with MS Office Products (Outlook, Word, Excel)
Willingness to adapt to and learn new technology, software programs, and upgrades.
Excellent grammar, proofreading and organizational skills required
Ability to communicate clearly and handle stressful situations in a professional manner and multi-task as well as follow-up timely
Willingness to work in a team-oriented environment
High degree of attention to detail and confidentiality
Ability to understand and follow work instructions with minimal supervision
Ability to prioritize tasks and handle multiple demands from multiple people
Ability to provide status reports on assigned projects independently
Added bonus if you have
Notary – or willing and able to become a Notary in Texas
BA/BS degree is a plus
