Position summary

Join Our Community of Food People!

The Lead Admin Assistant will serve as primary contact to assigned Leaders and respective departments.

Flexible Work Policy: The Lead Admin Assistant position has been segmented as Blended, meaning the work is a combination of onsite (only 2 days per week) and virtual (3 days per week). This position is based out of our corporate headquarters in Rosemont, IL.

Essential Responsibilities

  • Provides consistent high quality administrative support to assigned Leaders and their departments.
  • Provides consistent high quality administrative support to assigned leaders and their departments, using sound judgement in dealing independently with a variety of routine and no-routine problems and situations
  • Manages the calendar and daily schedule of assigned Leaders ensuring the most efficient use of time through a detail-oriented and forward-thinking approach.
  • Serve as a liaison between assigned Leaders and other key members of management, employees and outside contacts related to Company activities
  • Assists with the organization and maintenance of computer databases, including document management software; design and develop of PowerPoint presentations, organization charts, Word documents, and Excel spreadsheets, for both internal and external audiences as requested; catalogue past presentation material for easy retrieval.
  • Arranges meetings (virtual and onsite); makes travel arrangements and processes expense reports in a timely manner
  • Takes the lead in developing and maintaining efficient filing systems to ensure files and emails are accurately maintained, archived, and readily retrievable.
  • Prepares accurate drafts/final documents from rough copy, proactively identifying any issues, problems, or inconsistencies within the material.
  • Provides support for a variety of department projects and initiatives.

Education/Training: High School Diploma required; college degree preferred

Related Experience: Minimum of 5 years prior administrative assistant experience, supporting a high-level Leader required.

Knowledge/Skills/Abilities: This role entails interacting with internal and external parties at a senior level, requiring tact, diplomacy, and unfaltering confidentiality. Proficiency in all Microsoft Office products is required. The ability to work in a fast-paced environment; strong planning and time management skills; excellent written and oral communication skills; and the ability to multi-task under pressure. Prior experience in organizing and managing travel arrangements is highly desired.
