Essential Responsibilities

  • Prioritize conflicting needs; handle matters expeditiously; proactively engage on and see projects through to successful completion within strict deadlines 
  • Maintain and coordinate calendars, schedule appointments and meetings for executive business leaders 
  • Plan, schedule, and arrange business meetings and travel itineraries; prepare and reconcile expense accounts 
  • Manage domestic and international travel arrangements, including coordinating visa applications
  • Responsible for paying & tracking invoices and assisting with issues relating to invoices
  • Process T&L expenses and assist in managing expense accounts and budgets 
  • Prepare communications such as organization announcements and newsletters 
  • Prepare presentations, reports, spreadsheets, meeting minutes and other business information 
  • Use discretion in interfacing with all levels of individuals, internally and externally
  • Answer phones, direct calls to appropriate individuals and send emails to team regarding incoming calls and requests
  • Prepare, evaluate, and edit incoming and outgoing communications for the executives 
  • Serve as delegate for various approval processes for executive business leaders; including expense reports), computer peripherals, electronic signatures, etc. 
  • Keep org charts, seating, distribution lists up to date 
  • Support teams in planning and executing customer and large internal events, including all logistical details, scouting locations, coordinating scheduling, accommodations, and catering 
  • Direct business contacts to appropriate managers 
  • Manage conference / huddle rooms and common office areas 
  • Order and track general office supplies
  • Coordinate the offices and employee supplier needs
  • Interact with vendors and building administration for maintenance needs, employee access to parking, fitness center. 
  • Lead special projects as requested
  • Properly handle/protect confidential business information

Qualifications/Requirements

  • Minimum of 5 years of administrative experience in a corporate environment supporting multiple executives
  • High School Diploma/GED required, Bachelor's Degree preferred
  • Previous experience with international travel requirements
  • Must be proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), and familiarity with video conferencing 
  • Previous experience in planning and executing meetings
