Yours will be the first face employees see each morning when they arrive to the office, and you will help set the first impression visitors and customers will have when visiting our offices. Through your friendly demeanor and problem-solving attitude, you will help make our employees' days brighter by keeping daily office operations running smoothly - all while helping foster a sense of community amongst employees through the variety of social events held regularly. Because you are naturally warm and welcoming, employees will happily come to you with whatever office related issues they might be needing assistance with.

What do we want to know about you?
Ideally at least 5+ years of experience in a receptionist and/or office management related role within a large (preferably publicly traded) organization, or other relevant experience.
A friendly, helpful, and professional demeanor with a drive to find solutions to problems
Experience interacting with C-Suite executives
Vendor management and experience, to include reviewing and submitting invoices
Acute attention to detail and high level of organizational ability
The ability to prioritize tasks and coordinate several projects simultaneously
The ability to maintain reliable and predictable attendance
A high level of dependability, a great attitude, and an ability to work well with a team towards achieving a common goal
Bachelor's degree from an accredited university is preferred. A high school diploma or equivalent level of education or equivalent level of professional experience is required.
Ability and willingness to be physically present and work onsite in the Fort Worth, TX office five days a week, from either 7a to 4p or 8a to 5p.
What will your typical day look like?
Your daily duties will be split between general office management and focused management of our front desk operations.
Office Management
Be physically present each day to help manage daily operations (Monday - Friday, 7a - 4p or 8a - 5p)
Manage daily office operations for 65+ personnel office located in the heart of Alliance Town Center area.
Serve as the office's main point of contact with building ownership and property management office
Manage office supplies and food and beverage inventory through office manager and/or vendor restocking areas regularly and when needed
Liaison with property management office to ensure continuity of janitorial, maintenance service providers, and other related vendors including submittal and tracking of work orders
Assist in the project management of any construction or reconfiguration taking place within the office
Process lease payments and other office related expenses
Serve as Emergency Floor Warden for Hillwood Properties emergency preparedness protocols
Ensure cleanliness, safety and hygiene standards of the reception area, conference rooms, break areas and kitchen and work with janitorial vendor when issues arise
Managing use of the shared conference rooms
Manage badge access system for Hillwood Office
Manage the office seating assignments and allocation of dedicated desk space across the various employee groups that collectively make up the office population
Coordinate with IT to ensure new hires or newly assigned personnel have all necessary equipment prior to day one
Ordering / Setting up catering for client/VIP visits
Organize and coordinate office celebrations and special events, including holiday decorations
Manage the local storeroom
All other duties, projects, tasks, and assignments as required
Front Desk Management
Accepting/signing for Fed Ex/UPS deliveries
Greet visitors and maintain the office visitors' log
Handle a range of queries including facility and equipment issues via phone, email, and in-person
Receive, sort, distribute, and dispatch daily mail and deliveries
Handle transcription, printing, photocopying, and faxing as needed
Assist with coordinating internal and external events
Manage inventory/maintenance of office equipment and furniture
Support I.T. and security technicians as required
All other duties, projects, tasks, and assignments as required
