Duties & Responsibilities:
Supports EVP and multiple large functional areas within Information Technology
Acts as brand ambassador for the company and department
Manage complex calendars for senior executives, including scheduling internal and external meetings, anticipating conflicts, and ensuring optimal time management across priorities.
Demonstrates flexibility and commitment, with the ability to work onsite up to 5 days per week, adjust hours for early or late meetings as needed, remain accessible via text for occasional weekend emergencies, and travel a few times per year for executive offsites or key meetings.
Coordinates off-site corporate/board/customer/client meetings and provides international executive support
Ensures consistency and compliance with organizational standards and practices
Manages general office tasks, supplies, functional budget, invoices, and reports
Handles executive travel, meeting and conference rooms, and event planning
Serves as liaison and communication link to leader and function
Provides advice, expertise, and context to ensure compliance with standards
Creates documents and spreadsheets using Microsoft Office programs
Interacts professionally across the business and externally
Supports special projects and programs as needed
Participates in meetings, trainings, career development, and webinars
Additional duties may be assigned to support business needs and values
Qualifications:
HS diploma & Post Secondary Education in business-related field; equivalent training/certifications/experience considered
4+ years of administrative support for C-level executive and large team/function
2+ years in advanced executive support, leading teams directly or indirectly
2+ years guiding, training, or onboarding team members in relevant technologies, capabilities, or skills
Strong critical thinking and problem-solving skills
Highly organized and detail-oriented
Tactful with discretionary initiative
Highly flexible with strong multitasking and prioritization abilities
Willingness to learn new software tools and applications
Proven experience with Microsoft Collaboration tools (PowerPoint, Word, Excel, Outlook, Teams)
Ability to document meetings and provide clear next steps, actions, and recaps
Empathetic and collaborative, valuing teamwork
Willing to be in the office up to 5 days per week, shift schedule for meetings, available via text on weekends for emergencies, and travel a few times a year for offsites
Preferred Qualifications:
Associate's or Bachelor's degree preferred
Executive support experience providing administrative support for a large group/team/function in a large complex corporate environment
