e pre-meeting and post-meeting materials and reports
Coordinate travel arrangements including reservations, itineraries, and expense reports as needed
Organize group meetings including location, room setup, materials, and food
Maintain a variety of weekly/monthly/quarterly reports
Coordinate schedules and meeting plans
Coordinate conference calls, team meetings and ad hoc meetings with both corporate and field groups
Answer, screen, and direct incoming calls, handling issues appropriately and relaying messages
Process invoices providing correct financial coding and supporting details
Project Coordination
Act as point person for select projects. Ensure timelines are met and action items are clearly communicated to keep projects on track.
Participate on special project teams
Manage time effectively to meet deadlines and ensure availability for additional projects
Create and edit Power Point presentations
Department Support
Compose messages for the department such as invitations to department meetings/events and job change announcements
Oversee department events including spot recognition processes, birthday and anniversary celebrations, and holiday activities
Maintain the department calendar and ensure key dates and events are well communicated
Serve as an information resource regarding routine questions as well as critical policies and procedures
Ensure office, maintenance and janitorial supplies are well maintained for department
Request and coordinate with facility teams on office repairs, updates and moves
Requirements:
High school diploma or GED equivalent
3+ years of administrative support experience with increasing responsibility
Proficiency with Microsoft Office applications to include Word, Excel, PowerPoint and Outlook
Excellent verbal and written communication skills
Proficiency in building PowerPoint decks, previous experience required
Ability to organize & prioritize; attention to detail
Ability to handle multiple tasks simultaneously in a fast-paced work environment, work well and remain composed in stressful situations
