What you will do:
Assist Contracts Manager with all contract requirements (examples include contract preparation, subcontract documentation, bid and contract bond preparation, job closeouts, DBE documentation).
Assist in bidding process, which may include tracking bid advertisements, ordering plans, reviewing bid requirements, tracking subcontractor quotes and bid addenda, preparing and submitting bids, and distributing results.
Prepare and assist with Annual Master Subcontracts and Subcontractor Safety Qualifications. Track compliance for subcontractor insurance and indemnity requirements. Generate job-specific work orders and submit agreements to appropriate agency for subcontract approval with required state support documentation. Acknowledge payments and receipts as required by appropriate agency.
Set up State, Municipal, Commercial jobs and change orders using accounting software and maintain files.
Support Contracts Manager with document preparation for Annual Prequalification's and Audits
Assist in coordinating and tracking quantities/coverslips for all prime contracted work.
Review Billing estimates against P&L's for quantity discrepancies.
Prepare and key job cost billings to customers.
Process Sub Quantities for payment from Estimate & Prep Forms.
Prepare and submit bi-weekly subcontractor check runs to Account Payable.
Generate and distribute Daily P&L report. Fix progress as requested
Requirements:
Education: Associate's degree (A.A./A.S.) or equivalent from two-year college or technical school; or two to three years related experience and/or training; or equivalent combination of education and experience.
Excellent computer skills including outlook, Microsoft Office (Excel, Word).
Possess solid organization and verbal/written communication skills.
Ability to work in a fast-paced environment and multitask.
Good decision-making skills and detailed oriented.
Willingness to work in a team environment and assist co-workers or supervisor with other duties as required.
Must display a courteous and professional attitude when dealing with co-workers and the public.
