g for an Executive Assistant who will provide executive support to two Vice Presidents (VPs) from the Legal team as well as provide administrative support to the legal team.
Responsibilities
Manage, co-ordinate and arrange meeting schedules and appointments.
Create powerpoints and presentations.
Prepare agenda and taking minutes for department meetings.
Arrange travel bookings, itineraries and visa coordination, as necessary.
Provide general administrative support, including claim expenses.
Filing, organising, and labelling of all legal and confidential documents.
Organize team communications and plan events, both internally and offsite.
Assist with onboarding new team members, including applying for the relevant IT equipment for new hires.
As necessary, assist with events and office logistics, together with our Corporate Real Estate team and other executive assistants in the same office.
Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business teams.
Qualifications and Skills
Diploma holder with a minimum of 3 years' relevant working experience, preferably in a law firm or in-house legal department.
Proficient in Microsoft Word, Excel, Powerpoint and Outlook applications.
Prepared to use technology including document management system, travel and expense claims system. Articulate, with great written and oral communication skills in order to effectively communicate with internal and external high level executives. Efficiency in Mandarin will be a bonus.
Reliable, proactive, resourceful, independent, organised, able to prioritise effectively to meet deadlines, , achieve results, have strong interpersonal skills with a focus on teamwork and ability to foster/manage relationships across multiple departments.
