g a highly organized and proactive Executive Assistant (EA) to support the Deputy General Counsel based in the UK and the VP, Legal EMEA based in the Netherlands. As the face of the EMEA Legal team, the EA will play a crucial role in fostering collaboration with global stakeholders and ensuring seamless communication within the team.
Key responsibilities include managing complex scheduling, drafting agendas, creating impactful PowerPoint presentations, and following up on action items from meetings. The EA will attend leadership meetings, coordinate lunches, and oversee meeting room setups to ensure a productive environment. The ideal candidate will possess exceptional organizational skills, the ability to handle sensitive information with discretion, and a proactive approach to problem-solving. This role is essential in supporting the legal leadership team and enhancing the overall efficiency of the EMEA Legal function.
Responsibilities
Calendar & meeting coordination: Manage complex scheduling (Outlook), ensuring seamless coordination of internal and external meetings across multiple time zones
Stakeholder engagement: Confidently liaise with senior executives, external business leaders, ensuring professional representation
Presentation & communications: Develop high-quality PowerPoint presentations, agenda items, briefing materials, and executive summaries.
Travel & expense management: Arrange business travel, prepare itineraries, and process expenses efficiently (Concur)
Budget & reporting support: Assist in the annual budget planning process, track expenses, and pull reports from business systems (Workday)
Action tracking & follow-ups: Take ownership of action items from key meetings, ensuring timely follow-ups and progress tracking
Event & meeting logistics: Organize all-staff meetings and quarterly offsites. Manage meeting room bookings, IT setup, catering, and security access. Support with the set-up of Zoom webinars. Supporting Senior Legal Directors with organising office lunches
Procurement support: Raise purchase orders and manage approvals using Coupa
Confidentiality & discretion: Handle sensitive information with the utmost professionalism and discretion
