Manage and update Lease records, reports, and workflows in internal systems including but not limited to; Workday, Salesforce, eBuilder/Trimble, Icertis and Coupa
Assist with contract management, including tracking, filing, and processing approvals
Review and track insurance documents for compliance
Collaborate with Legal and Risk Management to support contract and insurance processes
Coordinate communication and documentation between internal teams, tenants, and external partners
Support ongoing tenant coordination activities, including various communications (emails, phone calls, etc.), scheduling, tour details, reporting, and follow-ups
Coordinate, support, and perform preconstruction close-out/punch walks
Prepare reports, correspondence, and presentations as needed
Contribute to special projects and cross-functional initiatives
Work with all levels of management and external professional entities
Participate in Meetings, record, and distribute notes as requested
Prepare and submit Expense Reports for leadership at their discretion
Prepare communications with and for various stakeholders such as operations and leasing team members, contractors, tenants, neighboring properties, etc.
Track and follow-up on (as needed) lease documentation status with both internal and external partners.

ABOUT YOU
3+ years of experience as an executive assistant, preferably in real estate, construction, or a related industry
Exceptional organizational and time management skills
Excellent written and verbal communication abilities
Strong problem-solving skills and attention to detail
Proficient in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Asana, Trello)
Ability to work independently and manage multiple priorities in a deadline-driven environment
Professional demeanor and ability to interact with high-level stakeholders
