    About The Role

    As a purchasing and contracts administrator, you will be responsible for facilitating the purchasing and procurement process for the Houston Region, including assisting with the management of contracts (including leases), purchase requisitions, purchase orders and invoices. The job will involve the utilization of the Coupa and iCertis applications to initiate purchase requisitions and establish related contracts and the utilization of SalesForce to initiate leases. Further duties include working directly with project managers and vendors to obtain contracts and leases, tracking contracts and leases and reporting the status to the stakeholders in the region. Direct communication with various departments within the organization as well as outside vendors is essential.

    What You Will Do

    • Interface directly with vendors and lessees to assure smooth onboarding;

    • Interfaces with project managers, developers, property managers and other "buyers" across the region to assist in submitting and tracking purchase requisitions and purchase orders;

    • Track the quantity and report on the status of purchase requisitions in real time;

    • Provide subject matter expert assistance to other regional teams such as operations, leasing, and marketing;

    • Interface with Development, Operations and Legal teams to initiate contract process in Coupa/iCertis, as appropriate for new vendor relationships;

    • Interface with Commercial Leasing team regarding the entry of commercial leases into Salesforce;

    • Create Accounts and Opportunities in Salesforce; gather all documentation required to be uploaded (LOIs, LODs, Site Plans, Work Letters, financials, etc.);

    • Work and communicate effectively with multiple departments (Tenant Coordination, Property Management, Legal, Development, etc.);

    • Assist with ad-hoc department needs as they arise;

    • Other duties as assigned.

    About You

    • Minimum high school diploma

    • Bachelor's or Associate's degree preferred

    • Strong communication skills;

    • Ability to work under time constraints and deadlines;

    • Self-starter, effectively works under minimal supervision;

    • Strong attention to detail;

    • Pro-active, critical thinker, problem solver;

    • Working knowledge Microsoft Office applications, especially Excel;

    • Exposure to SalesForce, iCertis and Coupa is a plus.
