s Senior Executive Assistant (EA), you'll provide high-level administrative and strategic support to Senior Executives and their teams, serving as a trusted partner and extension of leadership. You'll manage robust calendars, communications, and projects while exercising the highest level of discretion, judgment, and professionalism.
The Senior Executive Assistant anticipates needs, drives efficiency, and ensures executives are focused on the highest-priority initiatives that advance business goals. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
Key Responsibilities
Executive Support:
Manage complex calendars, travel arrangements, and meeting coordination for senior executives and their teams as needed.
Serve as gatekeeper, prioritizing requests and ensuring alignment with strategic priorities.
Prepare agendas, presentations, decks, and materials for meetings and events.
Complete ad hoc duties and projects as assigned.
Support onsite meetings as needed for Execs and their teams. Travel to support on-site meetings approximately 4 times annually.
Prepare expense reimbursements / invoices for payment, reconcile credit cards.
Communication & Relationship Management:
Act as a liaison between executives and internal/external stakeholders.
Maintain confidentiality and handle critical information with discretion.
Be responsive to emails/texts/phone calls, with contact outside normal business hours.
Represent the company and the Executive in a positive light through great follow-through skills and good judgment.
Operational Excellence:
Lead or support cross-functional projects, tracking deliverables and ensuring timely execution.
Streamline administrative processes, implementing systems that improve efficiency.
Support executive decision-making with research, data gathering, and insights.
Leadership Support:
Anticipate the needs of executives and proactively identify solutions.
Partner with HR, Finance, and other corporate functions to align on priorities.
Mentor and support junior administrative staff as needed, including back up coverage.
