Key responsibilities
Leading & Coordinating day to day operations and ensuring office aesthetics are best in class
Leading & Coordinating, reviewing & improving processes to ensure offices are run smoothly and efficiently in an organized and professional way
Maintaining inventory records, focus on reducing wastage in line with ESG targets
Manage costs ensuring in line with the approved budget
Leading & coordinating with different stakeholders particularly in event planning and understand all aspects and ensuring each event (both in-house & outside) are managed flawlessly
Collaborate with global workplace team members to innovate programs to help enhance the office experience
Lead WPS events team activities, events, and initiatives
Work with landlord/vendors to ensure office space is kept up to standards
Assist with orientation of new UKG employees to familiarize them with office layout and amenities
Leading & Coordinating office maintenance schedules as per defined timelines
Should understand the basic vendor and related compliances to complete required audits
Help raise the purchase orders and coordinate and monitor the invoice cycle
Respond to employee queries and manage incoming tickets via and oversee them for the India region and completing as per defined timelines
Ensuring Health & Safety requirements are met while performing day to day tasks
Propose improvements to enhance office environment
Should be able collate and coordinate regional information
Should be willing to work on regional projects and help achieve global objectives
Qualifications & Experience
Degree level - Graduate
11+ years of related experience working in a corporate environment within the office/ facilities/hotel sector.
Preferrable for an experience of managing soft services for 100,000+ square feet office area
Advanced proficiency in Microsoft office suite (Word, Excel, Outlook, SharePoint, and PowerPoint)
Experience in overseeing/ leading the tasks / projects at various operational level
Demonstrate excellent customer service & efficient work methods
Ability to handle multiple tasks in a fast-paced and challenging environment
Highly organized, worker that works well without supervision
Strong analytical, organizational, and with great presentation skills
Ability to make decisions independently
Must be a team player with excellent organizational and multitasking abilities
Excellent verbal & written communication skills
Must be comfortable in working in different shifts as and when required
