Who we're looking for
Toyota's Admin Department is looking for a passionate and highly-motivated Admin Specialist.
The primary responsibility of this role is to process multiple administrative and accounting activities generated via various queues or sources. This includes electronic work queues, system reports, databases, and incoming correspondenceThis role is also responsible for performing account and transaction research, resolving escalations, working closely with Corporate Accounting to understand and clear variances and partnering closely with their leadership team to implement change with a continued focus on process improvement. Reporting to the Admin Specialist Supervisor the person in this role will support the Admin department's objective to meet compliance expectations for all Standard Operating Procedures as well as Policies and Procedures.
What you'll be doing
Complete account maintenance requests received in electronic work queue or file; may include DMS (Document Management System), Outlook email, Excel, etc.
Manage unidentified/suspended related cash clearing
Research and correct funds application errors on open and charged off accounts including but not limited to NSF's, misapplied payments, duplicate payments, sales and property tax assessments
Research and resolve aged items and deposit variances, identify and resolve trends
Remediate cross-department handoffs including communication, resolution, and follow-up
Work closely with leaders and peers to balance varying service level needs and remediation projects
Use email, electronic queue, fax, and hardcopy processes as appropriate
Perform related duties as assigned by supervisor
What you bring
High School Diploma/GED or equivalent experience
Ability to follow written Standard Operating Procedures, privacy standards, and detailed instructions
Provide accurate and timely handling of requests for payment research, customer overpayments, account maintenance and corrections to monetary transactions
Ability to learn and use new systems
Capable of deciphering written instructions and following system rules for proper funds handling
Demonstrated experience within a self-driven productive workflow environment
Ownership environment requires strong organizational skills in order to work through and maintain service levels within multiple work queues
Strong data entry, administrative, clerical experience
Effectively communicate with groups such as Customer Care and Corporate Accounting to reconcile specific accounts and calibrate on processes as necessary
Ability to work in a team environment demonstrating and an acceptance of open and clear communication with an understanding frequent feedback and coaching will occur from a variety of sources
Added bonus if you have
Banking, finance banking with a clear understanding of debits, credits, and the importance of balancing accounts
Demonstrate the ability to use critical thinking skills to independently make decisions when appropriate
Ability to shift agilely between tasks and manage time amid multiple deadlines
Partner with Planning and Support teams on SOP development and revisions including creation of job aids and training tools to assist in onboarding and accurate handling of tasks
