*Northrop Grumman Aeronautics Systems *is seeking an experienced *Administrative Assistant 3 *to support the Research & Advanced Development organization onsite in Melbourne, Florida.
This position will support multiple Directors.
Key responsibilities include performance of all administrative and support functions for the director and other leaders inside the program area. The job will involve coordination among multiple functional organizations located across multiple campus locations and time zones.
The role calls for a self-motivated, positive team player who excels at the full spectrum of administrative support-answering phones, ordering supplies, coordinating security-related functions, arranging domestic and international travel, and filing expense reports. The incumbent will manage multiple calendars, schedule and facilitate meetings, oversee guest logistics, and handle facility-related needs while planning engaging team-building activities and coordinating new-employee onboarding. Flexibility, dedication, and the ability to interact effectively with all levels of Northrop Grumman leadership, support organizations, and customers are essential to success in this position.
Key Responsibilities
Proactively manage and prioritize calendars for senior staff and supervisors, scheduling meetings, handling urgent requests, and resolving conflicts to maintain uninterrupted workflow
Coordinate domestic and international travel arrangements, process expense reports, and ensure timely reimbursements for assigned personnel
Arrange on-site and virtual meetings-including conference-room bookings, catering, agenda preparation, and follow-up on action items-while overseeing all logistical details
Collect, compile, and summarize data for reports and presentations; draft, edit, and proofread documents for accuracy and grammar, facilitating on-time delivery
Track, document, and close team action items; manage data movement through approved processes from unclassified to classified networks
Provide comprehensive administrative support: respond to employee inquiries, refer resources as needed, and answer policy-related questions
Maintain physical and electronic filing systems; handle phone calls, emails, and general correspondence with professionalism
Greet visitors, verify identification, issue badges, and log arrival/departure times to ensure a secure and welcoming environment
Oversee office supply inventory, place purchase orders, and monitor stock levels to prevent shortages
Offer backup support to other administrative staff, ensuring continuity of operations during absences or peak periods
Lead or assist with special projects, meeting milestones and delivering results on schedule
Plan and execute team events and site engagements that promote a strong "team-first" culture
Identify recurring scheduling or operational issues and propose process improvements that enhance efficiency and service quality
Basic Qualifications:
High School diploma/GED with at least 4 years' experience as an administrative assistant or similar
Proficient in MS Office Suite (Word, Excel, Outlook and PowerPoint)
Strong interpersonal, communication and organizational skills
Your ability to obtain and/or transfer and maintain the final adjudicated government Secret clearance and any program access(es) required for the position within a reasonable period of time, as determined by the Company
