Payroll processes

Payroll processes

Does anyone run their company's payroll on here? I have a question about what all you do in terms of spreadsheets? My colleague is starting to make payroll a nightmare with all the steps he has me take. And by that I mean turning a 3 hour process into a 6 hour process and having duplicate entries in multiple spots. It almost is starting to feel like he wants me to give up on the workload so he can take over. His way about it is backhanded and condescending. I'm just venting but also genuinely curious what others do?

I use a payroll company, but also some spreadsheets - one as a back-up for direct deposit info, one as a back-up for deductions based on monthly position, and one with all the payroll data - but I work for a company with under 20EEs, so it isn't burdensome. Is there a compliance reason - required by auditors or something for your extra steps?

If you do the payroll, you should create the process and steps to assure it is done correctly. Ask him to follow your lead unless he is above you. If he is explain to him and show him why the inefficiencies of his process make it far harder to get payroll done and without errors than your way. Make it about the process not about who is right...good luck.

I appreciate the thoughts offered during this discussion of payroll processes! I've worked in HR for numerous years and can attest to how important it is to streamline these systems. Automating specific tasks not only increases efficiency but also eliminates errors, which can contribute to employee unhappiness. It's fascinating to hear everyone's diverse techniques, particularly how technology like block blast may improve accuracy and transparency in salary management.

Duplicate entries in multiple spots are a BIG problem, as they lead to serious errors that are difficult to find and correct, since there are multiple places to look and multiple places to fix. The more times you enter the same thing, the more chances there are for errors. I agree with the one who said to do it your way, unless he is above you. If he is above you, show him the inefficiencies and ask if there is a reason for the duplicate entries. Be sure to listen, because, as someone said, there may be compliance issues that make them necessary.

It sounds like the OP is asking for information on how to approach requested changes being made in how they should be performing payroll accounting and if there’s best standardized way to perform this function on spreadsheet. Like mathematical answering to find the correct answer—nowadays there’s multiple ways/options to solve/do payroll accounting in spreadsheets and in this case, it appears to be more of frustration by the OP in being made to change to a different format, especially since the OP never mentions why the other person is insisting on the format change. It may well be a change in requirements mandated by company policy and the OP is not part of that decision making but is just the actuarial individual who posts the information onto the spreadsheet —what might be called the keypunch person. We can all possibly agree that the more complicated the form is the more likely that it would be likely to have errors occurring if one doesn’t cross check for the redundancy notation properly and this in essence is the point being asked by the OP.

All I can suggest is that the OP try to have a verbal if not written discussion with the person who has changed the spreadsheet format for an explanation behind the new system that will help them understand the why they need to use the spreadsheet format version despite their, the OP’s personal perception, that’s is too time consuming. The change to the spreadsheet format occurred for a reason and as the employee, the OP doesn’t have to know necessarily to do their job.

I could help with the extra steps that seem to be unnecessary yet need to see the full picture of how the data gets there and why. (Causing dups etc)

As for addressing it with him, needs to be approached carefully…Yet not impossible….
