Yes I do this for a living. But for external partners. First, the venue. If at your location, how many vendors or rather, colleagues, will be at the tables? Let’s say 20. Then order tables from a party type vendor with 2 chairs each and ask they be skirted (they can bring linens or the vendor can preset them). If your audience is the general public, be sure to get your marketing plan in place. Use EVENTBRITE to advertise. The system has marketing assistance internal to help promote it. The cost to attend I hope is zero then set up tickets in the system as a free event.
call local radio and tv stations to advertise it as well but be prepared to have your colleagues cover the tables perhaps a person from each dept. This allows the public to learn more about each area. There is a check-in system within EVENTBRITE too to capture who attended (and super helpful for data). Get the link to the event into a bitly link or embed the EB event link within the word EVENTBRITE when marketing it. Put it out on LinkedIn. Be prepared you may have a lot of people so set up a CHECKIN table and greeters. Make it a drop in from 10-4 or shorter from 9 - Noon and bring in boxed lunches for staff afterwards. Also set up table signs for each table for Example HR. Also order in coffee and bottled water for everyone. Set up a coffee hospitality area with bottled water and snacks (include mints) where one can sit and have a moment to prepare, make notes or just gather their thoughts or to sit with a colleague to have a q&a moment. Hope that helps some.
